Setting up or modifying an invoice template
- From the Hamburger menu, click on Fire Invoicing.
- Click on Setup.
- Click on Launch Setup.
- Each field below can be updated to customer specification
- Return Address
- Collection Text (This text is shown on the top portion of the invoice when there is a balance due).
- Late Collection Text (This text will be shown on the top portion of the invoice when there is a balance due and the invoice is overdue).
- Invoice Header
- Invoice Footer
- Pre-bill indicator Text
- Payment Terms
- Late Fees
- Late Fee line item Text
- Late Fee amount
- Once updated, customer clicks Save at the bottom right, this publishes the change.
Setting up or modifying invoicing preferences:
- Enter your department’s payment terms in days. If your department’s policy is that all invoices be paid immediately, put 0 in the payment terms box.
- If your department charges a late fee for late payment of invoices, enter that fee in the Late Fee Amount section. The late fee can either be a set dollar amount or a percentage of the total amount of the invoice. Example: if you charge a late fee of 10% of the total amount of the invoice, enter “10” in the Late Fee Amount box with the “%” next to it.
- Since any late fees are applied as invoice line items, if you have entered a late fee, now enter the Late Fee Line Item Text that should be used.
Check the Automatically Apply Late Fee checkbox if you want Fire Prevention Mobile (MobileEyes) to automatically apply the late fee to invoices that exceed the payment terms. The date displayed to the right indicates a “cut off” date for applying an automatic late fee. Any invoices created before this date will not get the automatic late fee applied.
